Sitio Web de Pro-Moskitia Foundation of Nicaragua

Thoughts on the website of Pro-Moskitia Foundation

Over the past two years many persons have requested and been given the password to the Pro-Moskitia website, usually based on their promise to make specific changes to the website. Fortunately none of these individuals have actually done any work on the website. Probably for this reason the website still functions. The ability to make changes to the Foundation's website should be limited to one or two individuals who are competent and committed. Therefore I make the following comments.

Why I chose to use Virb.com

I chose to use Virb.com because that company offers templates for websites that can be created and maintained without knowledge of HTML. The service costs $10 per month. I pay for that service. Virb.com does not host the website. The Pro-Moskitia website is hosted without cost to us by another company called Media Temple. The cost to host a website is about $10 per month. My son, who is a web developer, donated the cost to register the domain name. The annual fee to register the use of the domain name is $15.

When changes are needed, I make them without cost to the Foundation. The current costs of the website are about $255 per year, all of which is donated.

Virb.com offers a variety of templates that the foundation can chose from. Changes in the content of the website (but not the template) are very easy to make. Virb.com offers a tutorial on its website on how to make changes to the content.

Two years ago, a web developer customized the template using HTML. Casta Calderon handled that contract and I do not know the extent of those changes.

A suggested strategy for maintaining the organization's website

I suggest that changes to the content of the website be handled by a volunteer (called the webmaster) who makes changes to the website on a regularly scheduled basis, perhaps every three months. All suggested changes should be directed to this volunteer. This volunteer will not have to know HTML. Changes made by the volunteer will be restricted to changing the content of the website, i.e. the text and pictures on the website.

A developer is a person who knows HTML and other Internet programing tools and who creates or maintains websites on a professional or part-time basis. The Foundation should look for a qualified developer who has a personal interest in the work of the Foundation and who will commit to maintain the Foundation's website for an extended period of time. The developer will make all changes to the template of the website as needed. The developer should be paid for this work. An estimated $1,000 per year should be budgeted for this work. Ideally this person will be someone who can read English, Spanish and the Miskitu language. The person may reside in Nicaragua.

The Foundation should initially use a service such as Virb.com or Squarespace.com that provides a template for websites. This service costs approximately $10 per month. Use of the template does not require knowledge of HTML but a developer with knowledge of HTML would be able to modify the template as needed. After the organization has sufficient funds a developer could be hired to create a custom website for the organization at a cost of up to $5,000. Most organizations redesign their websites every five years.

Costs of maintaining a website

I have been advised that even if an organization makes changes to its website in-house (using an employee or a volunteer) it should budget $1,000 per year for a developer to maintain the template of the organization's website. The work to maintain a website is typically spread out over the year and is done as needed. A typical work order would be to make a change made necessary by a patch in a program that is used by the website. All computer programs are updated periodically and each update creates problems that have to be resolved. Usually an experienced web developer must resolve these problems.

Every four or five years most organizations redesign their website to reflect changes in the program of the organization. This redesign typically costs between $3,000 and $5,000 and is contracted out to a professional web developer.

The user account name and password should be kept private

Persons who may not know how to correct problems resulting from changes to the template provided by Virb.com should not be given access to the website's password. Only a person experienced in HTML should be allowed to make changes to the template.

All changes to the content of the website should be handled by one person (the Webmaster). This person should be a volunteer who will agree to do the work on a periodic basis under the direction of an officer of the Foundation.

All suggestions for changes to the website should be directed to the officer of the Foundation who is responsible for this work. That officer should prepare detailed instructions for the volunteer before work is begun. The officer of the Foundation should certify that the work has been completed before authorizing payment to the web developer. A professional web developer will have the tools needed to test any changes made prior to releasing the website for public use.

Major redesigns should be handled at the Board level with the Board approving the redesign prior to the beginning of work.

Website working group

There has been much discussion about changes to the website in the last two years. I suggest that we form a website working group to make decisions about changes to the website. I suggest the Father Melesio, Diana Amelia and I form the group.

The task of the working group will be to formulate a policy for maintaining the Foundation's website. The policy should be submitted to the Board for approval. The policy may designate one Director to be in charge of the website and describe procedures to be followed by that Director, volunteers and contractors.

The members of the working group should prepare for the meeting by putting in writing any suggestions they may have and circulating those suggestions to the other members of the working group prior to the meeting. Suggestions for specific changes to the content of the website may be put forward. Suggestions for changing the template should be put forward at that time as well. If the members of the working group want to suggest major changes to the existing website they should be prepared to approximate the costs of the changes and suggest a source of those funds.

I know from experience that successful changes to computer programs and websites involve a great deal of advance planning. The suggested changes should be made in writing so they can be discussed and finalized and submitted to the person doing the work before work begins. These documents form the basis of the contract between the developer and the client. Changes to the work order made after the contract is signed can be costly and will result in a poor quality product.
